Look, we're gonna be honest with you

Running an architecture firm means we collect some information about the folks who reach out to us. Nothing weird or intrusive - just what we need to actually help you with your project and stay in touch.

We've been restoring heritage buildings for years, and we treat your data with that same level of care and respect. No selling it off to random companies, no spam floods, none of that nonsense.

What info we actually collect

When you contact us: Your name, email, phone number, company details if relevant, and whatever you tell us about your project. Pretty standard stuff.

Website interactions: We use basic analytics to see which pages get viewed, how long people stick around, general location data (like which city you're browsing from). Helps us figure out if our site's actually useful or not.

Cookies and tech bits: Yeah, we use cookies. They remember if you've visited before and help the site work properly. Your browser probably lets you turn 'em off if that bothers you.

Project files: If we're working together, we'll obviously have your architectural briefs, site photos, correspondence - all the usual project documentation.

How we use it

Honestly, it's pretty straightforward:

  • Responding to your inquiries and keeping project conversations going
  • Sending you proposals, quotes, and project updates
  • Managing our client relationships and project timelines
  • Improving our website based on what people actually look at
  • Occasionally sharing firm news or relevant case studies (you can opt out anytime)
  • Meeting legal requirements - permits, contracts, that kind of thing

We're not in the business of selling email lists or bombarding you with junk. Our job's designing buildings, not pestering people.

Who sees your information

Mostly just us - the team at Mystral Venforge Quint. Sometimes we need to share bits with:

  • Contractors and consultants: If your project needs structural engineers or specialized trades, we'll share relevant details with them. That's kinda how construction works.
  • Legal and financial folks: Lawyers, accountants, insurance companies when contracts and payments are involved.
  • Tech providers: Our email service, website hosting, cloud storage - the usual digital infrastructure. They're all bound by their own privacy commitments.
  • Regulatory bodies: Building departments, heritage committees when we're pulling permits or getting approvals.

We don't sell or rent your data to third parties. Period. That's not our business model and frankly it'd be pretty sleazy.

Keeping your data secure

We take reasonable precautions - encrypted connections, secure servers, access controls, regular backups. Our team's trained on handling client information properly.

That said, nothing's 100% bulletproof online. We do our best with industry-standard security measures, but can't guarantee absolute security. If there's ever a serious breach, we'll let you know according to Canadian privacy laws (PIPEDA and all that).

Your rights and choices

You've got options here:

  • Access: Wanna know what info we have on you? Just ask.
  • Corrections: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want us to delete your data? We can do that, unless we legally need to keep it (like for tax records or active contracts).
  • Opt-out: Don't want marketing emails? There's an unsubscribe link in every message, or just tell us directly.
  • Portability: Need your data in a usable format? We can export it for you.

How long we keep stuff

Depends on what it is. Active project files? We keep those throughout the project and for several years after completion - partly for warranty purposes, partly because building departments sometimes need historical records.

General inquiries where nothing moved forward? We'll typically purge those after a couple years.

Financial and legal records stick around for seven years minimum - that's standard accounting practice and Canadian tax law stuff.

International transfers

We're based in Toronto, ON, and most of our operations are here in Canada. Some of our tech services (like cloud hosting or email platforms) might store data on servers outside Canada, potentially in the US or EU.

When that happens, we make sure those providers meet reasonable privacy standards. But yeah, different countries have different data protection laws, so there's that.

Kids and privacy

Our services aren't directed at anyone under 18. We don't knowingly collect information from minors. If you're a parent and think your kid's somehow given us their info, let us know and we'll delete it.

Changes to this policy

We might update this policy occasionally - new laws, changing practices, whatever. When we do, we'll update the date at the top and post the new version here.

Major changes? We'll probably send an email to let active clients know. But it's worth checking back here now and then if you're curious.
